Attendance Policy: Late Cancellations & No-Shows
We use a three-strike system to support consistency in care and respect for our clinicians’ time.
Strike counts reset every June 1 and January 1.
⏰ What Counts as a Strike?
- Late Cancellation = Canceling less than 24 hours before your appointment
- No-Show = Missing an appointment without notice
Strike System Overview
Strike 1– We follow up to check in and support scheduling.
Strike 2– We follow up again and remind you of the attendance policy.
Strike 3– If no future appointments are already booked, the ball is in your court. We will not initiate further
scheduling until you reach out. *If no appointment is scheduled within 30 days, services will
be formally closed.
The strike system will automatically reset after 3 months of consistent attendance (no missed appts or late cancellations)
Strike 4– All future appointments are canceled.
Therapist and clinical director meet to determine next steps, which may include: - We understand that life happens. If you’re sick or facing unexpected challenges, please reach out as
early as possible. While we aim to be flexible, late cancellations due to illness still count as strikes unless otherwise
discussed with your therapist. Changes made with the 24 hours’ notice are strike-free.- Via date and time-stamped phone call or voicemail ANY TIME 24-7-365
- Self-service cancellation/rescheduling through portal
- Via message to your provider or the business office through the portal
REGISTER HERE: Although we are starting a waiting list, wait times may still be minimal. The following steps are designed to simplify the process. Adults can register themselves or a child in their care by following these steps.
Before completing registration, please review our list of in-network insurance plans (see insurance page in website menu). If we are not in-network with your plan—or if you prefer not to use insurance or find that coverage is cost-prohibitive—we offer a private pay option to support your access to care.
Online registration and completion of forms do not ensure service provision. The availability of therapy services hinges on insurance coverage and matching the client with an optimal provider. We will examine the submitted information, confirm insurance coverage and benefits, and contact you once all required documents are complete.
Play therapy will be offered in our office. While talk therapy for teens and adults will primarily take place in the office, virtual tele-therapy may be an option in some cases. Clients utilizing tele-therapy need to be physically in the State of Virginia at the time of each appointment.
- Choose the DARK BLUE “register” button after opening the link below to register the NEW client who is seeking services by name in the profile.
- Please allow enough time to complete the entire process from establishing a profile to completing all of the online intake forms and documents. If you do need to pause and go back later, you may use the same link, or the link on our “portal” page, however you would choose the light blue “sign in” button OR “existing client of Find Your Way”, rather than “register”.
- Include all requested demographic information for the referred person
- Enter the required insurance information–name on card, ID#, insured DOB if different from the registered client–INCLUDING THIS INFORMATION HELPS TO STREAMLINE THE MATCHING PROCESS.
- Complete all documents electronically—this information is essential for the “matching” process to select the provider. It has come to my attention that the form entitled “Intake” needs to be completed in full in order to be saved.
- Expect a call from our Clinical Director, Suzanne Sanford, LPC from 434-432-8602 M-W-Th during business hours. The business office is closed Tuesdays. The practice is closed Fri-Sat-Sun and major holidays.
- Incomplete registrations will be deactivated after 30 days. You can call the office to get reinstated and continue from where you left off.
If you run into any issues with this process, please call the office at 432-8602 so we can help you navigate this process. It is meant to flow seamlessly from section to section, all the way through the required documents. We have been given feedback that the site may not be “phone friendly” so we recommend using a tablet or computer.

Returning Clients
Clients wishing to resume therapy with Krystal Mattox, LPC, Victoria Lott, Resident in Counseling, or Katie Ooten, Resident in Counseling, with whom they have previously worked, should be aware that their request will receive serious consideration. The therapist must have the necessary space and availability to restore services. In certain instances, it may be appropriate or required to consider a referral to another provider within the practice, or to offer recommendations for other local practices or agencies.
Since Deb Crowe, LPC has retired and Suzanne Sanford, LPC, is not taking on new clients, returning former clients who reach out to the office will be matched with a different provider within the practice who is best suited to their needs. Additionally, former clients have the option to receive or ask for referrals to other local practices or agencies.
Clients whose providers are no longer affiliated with this practice will be matched with another provider within the practice or receive recommendations for other practices or agencies.
